As you work more deals, a clean dashboard becomes essential. Here’s how to stay organized.
Use statuses consistently
The single most effective habit: update your deal statuses as transactions progress.
| When this happens | Change status to |

| You get a new listing | Pre-Contract |
| A contract is signed | Under Contract |
| The deal closes | Closed |
| You’re done with the file | Archived |
| The deal falls through | Canceled |
This keeps your Active filter showing only the deals that need your attention right now.
Use the dashboard filters
Don’t scroll through a long list of deals. Use the filters:
- Active — your current, in-progress deals (this should be your default view)
- Under Contract — deals with signed contracts and active deadlines
- Pre-Contract — listings and deals still being negotiated
- Archived — completed deals for reference
Name deals clearly
Use consistent naming so you can find deals quickly:
Good names:
- “742 Evergreen Terrace - Smith Sale”
- “100 Oak Ave - Johnson Lease”
Less useful names:
- “New deal”
- “Test”
- “Deal 1”
Include the address and at least one party name for quick identification.
Archive promptly
After a deal closes and all documents are synced, archive it. This moves it off your active view while preserving everything for future reference.
You can always find archived deals using the Archived or All filter.
For admins and TCs
Use the user filter on the dashboard to quickly focus on a specific agent’s deals. Combined with the status filter, you can answer questions like:
- “What are Sarah’s active deals?” → Filter by Sarah + Active
- “How many deals closed this month?” → Filter by All + Closed
Make it a weekly habit to review your dashboard and update statuses. Five minutes of cleanup saves hours of searching later.
